Proof of identity and address
A legitimate buyer will usually need to confirm who is selling and how that person or business is connected to the asset. Suitable evidence may include photographic identification and a recent proof of address. Company sales may also require confirmation of the authorised representative.
Road vehicles: V5C and registration
For vans, motorhomes and other registered vehicles, the V5C logbook helps identify the registered keeper and vehicle details. A V5C is not proof of ownership by itself, so purchase invoices, finance settlement evidence and other records may also be relevant.
Caravans: CRiS and purchase records
For eligible caravans, the CRiS number or registration can help with identity and status checks. Keep purchase receipts, service records, keys, manuals and any evidence explaining why the caravan is in your possession.
Plant and machinery
Useful evidence includes the purchase invoice, make and model, serial or PIN plate, hour-meter reading, keys, service history and any finance or fleet record. Businesses should confirm that the person arranging the sale is authorised to dispose of the asset.
Outstanding finance
Finance must be declared. Do not accept a process that ignores an existing lender. Any sale can proceed only through a lawful, agreed settlement arrangement that gives the buyer confidence that valid title will pass.
Verify who you are dealing with, understand why information is requested and use a secure method. Redact information that is not reasonably required at an early-enquiry stage.
Inherited assets and estates
If the registered keeper or former owner has died, the executor or administrator may need to provide probate or estate documents and identification. Requirements depend on ownership and value, so explain the circumstances before collection is arranged.
Before collection
- Confirm the agreed asset, price and inspection basis in writing.
- Understand the payment method and when funds are treated as cleared.
- Remove personal possessions and data from the vehicle or machine.
- Gather all keys, documents, attachments and agreed accessories.
- Complete the appropriate keeper or ownership notification.
- Keep a dated receipt and copy of the handover record.
