Seller safety guide

Protect yourself from first enquiry to collection.

A legitimate sale should leave a clear record of the asset, buyer, agreed price, payment and handover. Slow down if the process becomes secretive, rushed or unnecessarily complicated.

Confirm who you are dealing with

Use published contact details, keep important discussions in writing and ask questions if the buyer's identity or process is unclear. Be cautious if someone changes contact details repeatedly, refuses reasonable verification or introduces an unexpected third party.

Share documents carefully

Ownership checks are normal, but do not send original documents to an unknown person. At the enquiry stage, share only what is reasonably needed and obscure unrelated sensitive details. Keep copies of everything supplied.

Check the payment yourself

Agree the amount and payment method before handover. Confirm cleared funds through your own banking app or bank—not from a screenshot, message or link provided by the buyer. Never pay an upfront release, insurance or collection fee in order to receive purchase money.

Stop if the bank details or agreed process change unexpectedly.

Verify any change using a trusted contact method before transferring money, handing over keys or allowing collection.

Outstanding finance

Declare finance at the start. A buyer must be satisfied that valid title can pass, so any lender settlement should follow a documented, lawful arrangement. Do not accept a suggestion to conceal or bypass finance.

Prepare a written handover record

  • Record the asset description, registration or serial number.
  • State the agreed price and payment method.
  • Note the date, time, mileage or operating hours at handover.
  • List keys, documents, attachments and accessories included.
  • Keep both parties' names and a signed or confirmed copy.
  • Complete any DVLA, CRiS, finance or business record updates required.

Plan collection safely

Describe narrow access, soft ground, overhead restrictions, weight limits and non-running condition before the collection vehicle arrives. Keep people clear during loading, use competent recovery or transport arrangements and do not allow an unsafe move simply because a driver is waiting.

Remove personal information

Clear possessions and personal data from sat-navs, Bluetooth systems, dash cameras, paperwork, telematics and company branding where appropriate. Keep the handover receipt and evidence that required ownership notifications were completed.
