A clear checklist from valuation to handover.

Before requesting a valuation

  • Record the make, model, year and exact asset type.
  • Find the registration, VIN, CRiS number or machine serial number.
  • Note mileage or operating hours and current MOT status where relevant.
  • List every significant known fault, warning light, leak or damaged area.
  • Take clear recent photographs in good daylight.
  • Gather keys, V5C, invoices, service records and ownership evidence.
  • Confirm the postcode, standing surface and collection access.

Before accepting an offer

  • Check what information and assumptions the valuation is based on.
  • Declare outstanding finance, ownership issues or missing paperwork.
  • Confirm whether an inspection is required before the price is final.
  • Agree the payment method and when funds must be cleared.
  • Confirm who will arrange recovery, transport or specialist loading.
  • Record what keys, documents, accessories and attachments are included.
  • Keep important discussions and agreed terms in writing.

Before collection and handover

  • Check cleared funds through your own bank before releasing the asset.
  • Remove personal possessions, saved addresses and connected devices.
  • Prepare all agreed keys, paperwork, attachments and loose items.
  • Make access clear and disclose soft ground, restrictions or loading risks.
  • Do not allow an unsafe tow, recovery or loading operation.
  • Complete the correct keeper, ownership or company records.
  • Keep a dated handover receipt and copies of the final documents.

Extra details for caravans and motorhomes

Include damp, habitation and appliance condition, towing or recovery status, tyre condition and any park or storage-site restrictions. For conversions, explain who completed the work and how the vehicle is recorded.

Extra details for plant and machinery

Record the serial number, hours, attachments and whether the machine starts, travels, steers, brakes, lifts or tips correctly. Explain loading facilities, ground conditions, site controls and available access width.

If something is missing

Do not guess or hide the gap. Explain what is unavailable and why. Missing paperwork or incomplete history may affect a valuation, but honest information makes the next steps much clearer.
